*Job Description: I. CEO Assistant 1. Executive Support & Communication - Communication Management: Handling emails, phone calls, and other professional correspondence on behalf of the CEO. - Calendar & Scheduling: Managing the CEO’s calendar, arranging meetings, appointments, and networking events while proactively resolving any scheduling conflicts. - Meeting Coordination: Attending meetings to take detailed minutes, tracking action items, and ensuring follow-ups are completed. - Administrative Support: Assisting with data entry, file management, and developing progress monitoring templates or formats. - Expense Tracking: Filing and tracking receipts, invoices, and expenses related to the CEO’s activities. 2. Travel & Site Coordination - Mobility: Ability to travel to various sites or provinces as required to support the CEO’s operations and project oversight. - Logistics Planning: Coordinating with drivers and relevant team members regarding travel schedules, locations, and site-specific requirements. 3. Content Creation & Media - Video Production: Capturing/shooting video content and performing basic editing to support the CEO’s branding or company updates. 4. Event Management - Pre-Event: Collecting all necessary event information (agendas, dress codes, parking details, participant lists). Preparing essential items (e.g., water, company collateral) and brief the CEO and driver on the final agenda. - During Event: Providing on-site support to the CEO, ensuring the schedule is followed, and managing any immediate logistical needs or guest relations. - After Event: Managing post-event documentation, following up on new contacts made, and organizing any photos/videos or feedback gathered during the event. 5. Cross-Functional Collaboration - Team Support: Assisting with general administrative tasks and documentation while collaborating effectively with other departments and teams to ensure smooth operations. - General Duties: Performing other tasks as assigned by the CEO to meet evolving business needs. II. Moderator 1. Progress Reporting Provide daily briefings and reports to the CEO regarding ongoing Client, Creative, and Departmental projects. 2. Meeting Oversight Participate in project meetings to capture key objectives, track assigned tasks, and distill essential updates for the CEO’s review. 3. Cross-Department Liaison Act as the central point of communication across departments to streamline deliverables and ensure all project milestones are met on time. 4. Workflow Support Manage project documentation and conduct proactive follow-ups with internal teams to maintain momentum. 5.
