The salary is negotiable. Responsibilities: A. Administrative Support • Prepare, update, and maintain all site-related documents, including reports, checklists, and letters. • Organize filing, tracking, and retrieval of office records, vendor documents, and staff files. • Ensure all documentation complies with company standards and audit requirements. B. Office Coordination • Manage day-to-day office activities and ensure smooth functioning of site operations. • Manage daily office administration including office supplies, filing, and documentation. • Record and monitor staff attendance, leave, and overtime. • Support payroll and attendance reporting. • Assist management with administrative and finance-related tasks. C. Procurement & Vendor Coordination • Handle procurement processes including quotations, purchase orders, and supplier coordination. D. Billing & Payment Follow-Up • Prepare and issue tenant invoices and follow up on payments. E. Communication & Liaison • Serve as the contact point between the site team, property management, vendors, and contractors. • Communicate notices, schedules, or updates to staff and relevant departments. • Support coordination for meetings, appointments, and events at site. F. Reporting • Prepare daily, weekly, and monthly administrative reports for management. • Compile data for management review or internal audits. G. Compliance & Record Control • Ensure all office operations comply with company policies. • Maintain confidentiality and proper control of administrative records. Requirements: - Diploma or Bachelor’s degree in Business Administration, Management, or related field. - Minimum 1–2 years’ experience in administrative or office support role, preferably site-based. - Good organizational and multitasking skills. - Proficient in Microsoft Office (Word, Excel, Outlook). - Strong communication and coordination abilities. - Able to work independently and take responsibility for daily site administration.
