Job Title: Purchasing Officer -Department: Procurement / Supply Chain Reports To: Purchasing Manager / Operations Manager Job Summary -The Purchasing Officer is responsible for sourcing, negotiating, and purchasing kitchen appliances, cabinet materials, accessories, and related supplies to support production, sales, and project requirements. The role ensures timely delivery, cost efficiency, quality compliance, and effective supplier relationships in line with company policies. Key Responsibilities -Procurement & Sourcing -Source and purchase kitchen appliances, cabinet materials, hardware, fittings, and accessories from approved suppliers. -Compare quotations, negotiate prices, payment terms, and delivery schedules to achieve cost savings. -Issue Purchase Orders (PO) accurately and ensure approval compliance. Supplier Management -Identify, evaluate, and maintain relationships with local and overseas suppliers. -Monitor supplier performance in terms of price, quality, delivery time, and after-sales service. -Coordinate with suppliers on product specifications, samples, and technical requirements. Inventory & Coordination -Coordinate with Warehouse, Production, Sales, and Project teams to forecast material requirements. -Monitor stock levels and ensure optimal inventory to avoid shortages or overstock. -Track order status and follow up on deliveries to meet project timelines. Quality & Compliance -Ensure purchased items meet required specifications, drawings, and quality standards. -Coordinate with QC or relevant departments to resolve quality issues or discrepancies. -Ensure procurement activities comply with company policies and internal controls. -Documentation & Reporting -Maintain accurate procurement records, contracts, and supplier documentation. -Prepare purchasing reports such as cost analysis, supplier performance, and monthly procurement summaries. -Support audits by providing procurement-related documents when required. Cost Control & Improvement -Monitor market trends, material prices, and new products in kitchen appliances and cabinet industries. -Recommend cost-saving initiatives and alternative materials or suppliers. -Support continuous improvement of procurement processes. Job Requirements -Education -Bachelor’s degree in Business Administration, Supply Chain, Procurement, or related field. Experience -Minimum 2–3 years of purchasing or procurement experience. -Experience in kitchen appliances, cabinetry, furniture, construction materials, or interior fit-out is an advantage. Skills & Competencies -Strong negotiation and communication skills. -Knowledge of kitchen appliances, cabinet materials, hardware, and accessories. -Good analytical and problem-solving skills. -Proficient in MS Excel and ERP or purchasing systems. -Ability to work under pressure and meet deadlines. Personal Attributes -Detail-oriented and well-organized. -High level of integrity and responsibility. -Team player with good coordination skills. Working Conditions -Office-based with occasional visits to suppliers, warehouses, or project sites. -May require coordination with overseas suppliers and logistics teams.
