1. Payment 1-1-Checking document before payment processing: -AP will stamp Check all invoices to be received, checked and approved by Person in Charged (PC) (For clearly monitor date received, duration of each PC stored those doc) AP will perform three ways of matching on thoses documents from PR-PO-DO and Invoices with fully sign off by relevent parties---------otherwise will reject and return to Relevent Dept (Procurment, or HR…) -PC checked and sign acknowledgment and the notice is required in case there are any special reason on the differences Two approval authority take place: There is two approval authority For Petty cash expense, payment will be done by getting approval from CFO For Operation Expense, AP will seek Accounting manager and CFO approval 1-2-Payment Arrangement After documents are properly (PR-PO-DO and INVOICE are matching, plus vendor informations are enough), AP will prepare and arrange payment, passed to AFM, then CFO and final to CEO There is two stages -Petty Cash: AP prepare Cheque attached along the PV for GM and CFO final approval (Next proposed implement processing) -Some expenses (Mostly small Amount ): AP will highlight the vendor payment info such as Account beneficiery Name, Bank Account Number if stated per invoice but if not, AP will print the cover with detail vendor payment info. There to pass to get remittence done by CFO via Bank Account -Higher Amount (Operation Expense): AP get cheque from CFO written by himself (CFO hold cheques not Account Dept) ***Payment Voucher must contain PV number, Cheque number, and clear description (PV must be prepared by AP Accountant, Verified by AFM, Approved by CFO and Received by Vendors/vendor representative for Cheque/Cash but if via TT the receiver is N/A ) Prepare weekly report of Payment Voucher Register and update into bank book control for each individual company bank accounts accordingly. All documents must be gotten approval from authority in charge and got stamp (Paid and Post ) as final filling before pass to verifier (AFM) and approver (CFO). -Confirmed with vendors on date collection of their payment by obtained official receipt from vendors for payments made Bank Reconciliation and Bank Book Control AP will perform weekly bank reconciliation AP will prepare weekly Bank Book Control Deadline: Every Saturday then sumbit to Accounting Manager, cc to relevant person and Authorized person Data Entry in Accounting System -Enterbill for all vendor invoices getting from Procurments for payment and stamp"Post" on hard document as trasaction has been recorded per system to avoid douplicated key-in -Based on PV and its set document attached, update into QBs and print out those transactions from system and attached in PV and make sure all documents (already paid) stamp" Paid by Company" to avoid double payment on the same invoices - Prepare fixed Asset Register and control all fixed asset items to make sure it is taged, location of it …. -Make sure payroll data is provided (from HR ) on times -Make sure inventory are accrurate controlled and up to date per system -Make Journal Entry for month end closing based on month end checklist -Print Journal Voucher attached with it reference and seek verify and checked by AF and final approval from CFO as the same as PV -Double check and reconcilation for all items of Balance Sheet and PnL Print out BS, PnL, Cash Flow as final Report represent final balance of each month end closing balance and get AFM and CFO for them acknowledgement -Filling Accounting doc (PV File, JV file, FS Reports in the proper way and in order) Month-end Accrual basic AP collect all outstanding invoices not yet to be paid out to be source of month end accrual expense AP prepare month end accrual report, check by Chief Accountant. AP post all accrual into QuickBooks Deadline: Every 5th monthly Set the cut off dead with other relevent document (especialy the purchase at the end of the month which not yet received from vendor, the 3rd of next month otherwise it will accept the issue to new month) For proper way, AP need to received all vendor statements as basic to check against or confirm whether relevent Dept not yet provided or variance by vendor themselve) Prepare Weekly, Monthly and Yearly Accounting report and sumbit to AFM Weekly Cash flow and forcasting Checked against all stock reports with supporting doc-in and out to Accounting System (Currently not applicable for this part) Monthly Actual Report of Profif and Loss compare to budget Monthly tax declaration and prepare monthly and yearly tax payment ontime or before the deadline Monthly Financial Reports (BS, PnL and Cash Flow) Annual File return declaration per MOC are ontime Other task assigned by manager back up person to accounting team Perform physical stock count Perform fixed assets physical count Assist and support AF to provide accounting documents to relevent parties (Other Dept, tax, internal and external Audit….)
