Job Summary The Purchasing Officer is responsible for sourcing, purchasing, and coordinating the timely delivery of kitchen appliances, cabinets, accessories, and related materials. This role also covers logistics coordination, including import documentation, customs clearance, and import tax compliance, to ensure smooth inbound shipments and cost efficiency. Key Responsibilities 1. Purchasing & Supplier Management -Source, negotiate, and purchase kitchen appliances, cabinets, fittings, hardware, and related materials in line with company requirements. -Evaluate suppliers based on price, quality, delivery time, and after-sales service. -Maintain strong relationships with local and overseas suppliers. -Prepare and issue Purchase Orders (POs) in accordance with approved requisitions. -Monitor supplier performance and resolve delivery or quality issues. -Ensure purchases comply with company policies and budget controls. 2. Inventory & Cost Control -Coordinate with warehouse and relevant departments to ensure optimal stock levels. -Monitor lead times and follow up on outstanding orders to avoid stock shortages. -Analyze purchase costs and recommend cost-saving initiatives. -Assist in inventory planning for project-based and showroom requirements. 3. Logistics & Shipping Coordination -Coordinate inbound logistics for local and imported goods. -Liaise with freight forwarders, shipping agents, and transporters. -Monitor shipment schedules, delivery timelines, and container arrivals. -Ensure proper handling and delivery of fragile kitchen appliances and cabinet materials. 4. Import Tax Clearance & Customs Compliance -Prepare and verify all import-related documents, including: -Commercial invoices -Packing lists -Bill of lading / Airway bill -Certificates of origin -Import permits and licenses (if required) -Coordinate with customs brokers and relevant authorities for import clearance. -Ensure correct HS codes, customs valuation, and duty/tax calculations. -Follow up on import tax payments, customs duties, VAT, and other related charges. -Ensure compliance with local customs laws and regulations. -Resolve customs clearance issues, delays, or discrepancies promptly. 5. Documentation & Reporting -Maintain accurate purchasing, logistics, and import records. -Prepare purchasing and logistics reports for management review. -Coordinate with Accounting for invoice verification, GRN, and payment processing. -Support audit requirements by providing complete procurement and import documentation. -Qualifications & Requirements Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or related field. -Minimum [2–3] years of experience in purchasing and logistics, preferably in kitchen appliances, furniture, or construction-related industries. -Strong knowledge of import/export procedures and import tax clearance. -Familiar with customs regulations, HS codes, and shipping documentation. -Good negotiation, communication, and coordination skills. -Proficient in MS Office and ERP systems. -Ability to work under pressure and meet tight deadlines.
