Sales Administrative Executive

1. Order & Sales Processing - Receive, process, and follow up on sales orders from the sales team or customers. - Coordinate with warehouse/logistics to ensure timely delivery of goods. - Check product availability and stock levels before confirming orders. - Update PO into localize System to be aligned with all cross functional Departments. 2. Sales Reporting - Prepare daily, weekly, and monthly sales performance reports for management. - Consolidate sales team reports and update sales dashboards. - Assist in tracking KPIs for sales team members. - General all reports required from DMS. (Ex.DKPIs). 3. Documentation & Records - Maintain accurate customer databases and sales records. - Issue invoices, quotations, purchase orders, and sales contracts as needed. - File and archive sales documents for auditing and reference. - Prepare monthly FOC, Distributors’ claims - Prepare, checking internal staff’s claims. 4. Coordination & Communication - Communicate with the finance and warehouse departments regarding stock status, payment, and delivery. - Support trade promotions by tracking redemption forms, gifts, or discount usage. - Coordinate internal sales meetings, trainings, and events. - Share all official documents (announcement, communication….) to distributors or relevant parties. - Cascade all promotions, Price changed, Monthly Target both PO &Sec Sales to distributors. 5. Customer Support - Handle basic inquiries from customers regarding product info, orders, and delivery status. - Escalate customer complaints or special requests to relevant sales staff or management.
